Contracts with new customers are closed by field sales and an online portal through their contract management system (SCOUT). The information from the contracts (products, bank account etc.) have to be entered in the inventory system (LF4) to in order finalize the new contract.
With an increasing customer base and new products regularly launched there are more new contracts signed everyday. Entering the information from the contract into the legacy system is time consuming, very manual, rule-base and repetitive.
Our Solution for this client
An RPA Robot was introduced who is receiving the contract as an XML-file through a file share. It is thus not necessary to read out information from the PDF contract. The robot then enters the contract information to the legacy system (LF4).

Reads and validates the information
Robot automatically reads information about new contracts from SCS through internal file share. It then also validates the information.
Enters the contract data to the inventory system
Robot automatically checks if the contract has been processed already. It will then enter the data or send out the information to the clerk.
Writes and sends the execution protocol
Robot automatically writes the protocol of the process execution and send them to the clerk.
Gives the clerks time to focus on service
Robot does the time consuming, very manual, rule-base and repetitive job of entering information to the inventory system. The clerks focus on customer service.
